Getting More from Office 365 – To-Do
Office 365 is a fantastic set of tools for the small business. Microsoft’s subscription-based service is packed with software that can improve productivity and collaboration for all sizes of business. However, the majority of users only use a very small percentage of what’s available. In this ongoing series of posts, we look at some of the lesser used elements of Office 365 and investigate them further, so you don’t have to.

This week we have a look at To-Do.
In A Nutshell
To-Do lets you create simple to-do lists, set reminders, and keep track of projects. The app itself is simple and straightforward. List the tasks you want to accomplish and then check them off as you complete them.
Who is it for?
Whilst at heart this is a simple task list for individuals, a few underlying features make To-Do especially appropriate for a businesses. Firstly, To-Do is designed to be a mobile app, with versions available for Android, iOS and Windows.
The app also uses cloud technology to replicate the status of your lists across devices. So, changes made on your Desktop in Outlook will be shared across all of your devices. By tying To-Do to the Outlook app that users are so familiar with Microsofts have given To-Do functionality that should make it useful to many users.
What’s good about it?
It’s simplicity – It has a familiar look and feel, is easy to add tasks to ‘on the fly’ and syncs easily between devices even on other operating systems. It’s also lightweight, not taking up much space on either desktop or mobile devices.
My Day – being able to pull all of your to-dos into the “My Day” pinned project is ideal for those looking for a “day planner” style way to bring to-dos from lists into an actionable state. My Day sits at the top of your projects and provides an easy way to keep track of those to-do items for the day.
What’s bad about it?
Lack of features – as with many apps, one of the ‘good’ elements is also a weakness. Compared with some of its rivals such as Todoist and Asana there are some features missing. Users have cited a lack of recurring tasks and the inability to set sub-tasks as issues. However, these criticisms tend to be from individuals using the app alone rather than as part of the 365 suite. Much of the functionality can be found via Outlook with To-Do more of a handy way to carry your lists with you.
Visually unappealing – whilst there are some limited ways to personalise To-Do the interface remains pretty basic and bland. Again, this simplicity might appeal to some but for others it will definitely be a turn-off and lags behind its rivals.

As To-Do is so simple there are limited resources available for learning how to use it and you may well be best just to fire it up and have a go. However, we’ve managed to find some tutorials that can help you get started:
The Microsoft To-Do Full Tutorial is, as you would expect a full tutorial on To-Do and is only 5 minutes long.
The Windows Club has also produced a tutorial for those that prefer something in written format.
Prolific Oaktree incorporates the earlier video tutorial in their introduction which also covers downloading and setting up the app and some more advanced features.
And that’s about it!
Such is the simplicity of To-Do that even Microsoft themselves don’t have any tutorials available.
We’ve (hopefully!) given a broad, unbiased, view of what To-Do can offer and pointed you in the direction of some further help in getting started. To-Do is definitely a piece of software where it’s best to just dive in and have a play around. You should be far more organised in minutes!
